One Council - One payroll system

We are working towards providing all staff with access to a single online payroll system.  

As it stands, we have four different systems in place, with some staff not yet set up online.  

This creates frustrations for both staff and managers (some of which manage colleagues from different legacy councils). HMRC also require councils to have one system in place.  

Over the past few months, colleagues from the Programme Management Office, finance, payroll and HR&OD have been putting in place a move to a one council - one payroll solution.   

This will involve a roll out of a new payroll system for all former district colleagues. They will move onto the same iTrent system that the former Cumbria County Council staff used and the same system new Cumberland Council staff use.  

Former Cumbria County Council and new employees of Cumberland Council (appointed after April 2023) will be unaffected. 

If you’re a former district council employee how will this affect you?

  • You will get a new payroll number provided by the payroll team as part of the roll-out.   
  • You will have access to a self-serve online payroll system. This will allow you to book your leave, download your payslips, manage your vehicle details and apply for expenses. Former Carlisle City Council staff who currently have an iTrent system will see a difference in how their payslip looks on the new iTrent.   
  • Your pay date won’t be affected. You’ll get paid on the same day as normal.   
  • Your rate of pay won’t be affected, and you’ll still have the same leave allocation.   

The roll-out programme is still being firmed up. More information and key dates will be shared shortly.  

On the build-up to the move to a new pay roll system, former Carlisle City Council colleagues are encouraged to do the following: 

  • Check your personal details are up to date on your current iTrent system. Including bank details.  
  • Download any P60 or payslip documents you want to retain.  

What happens next?  

We appreciate that this is a change for staff but please be assured that we have support in place during the transition to the new system to help iron out any issues or challenges and ensure it is a smooth process.
